Volumetric Weight: Why Your Shipment Weighs More Than the Scale Says

Carriers charge for the greater of actual weight and volumetric weight, a number derived from box dimensions. How it is calculated, why a big box with a light product is the most expensive shipment there is, and what you can do about it.

Carriers do not charge for what your package weighs: they charge for the greater of its actual weight and its volumetric weight. Volumetric weight is calculated from the box's dimensions, which is why a pillow can cost more to ship than a gym weight.

It is the logistics cost that most often surprises a brand starting to sell online, and also one of the few you can lower without renegotiating rates.

How it is calculated

The standard formula is:

(length × width × height in centimeters) ÷ volumetric factor = volumetric weight in kilograms

Each carrier sets its own volumetric factor, typically between 5,000 and 6,000 for domestic ground shipments. It is a number that lives in your contract, not on the public rate page, and it is worth asking about explicitly because it changes the result significantly.

An example with a factor of 5,000. You ship a 40 × 30 × 25 cm box holding a product that weighs 2 kg:

  • Volume: 40 × 30 × 25 = 30,000 cm³
  • Volumetric weight: 30,000 ÷ 5,000 = 6 kg
  • Actual weight: 2 kg

You are billed for 6 kg. You are paying three times your product's weight to transport air.

Same product, same weight, tighter box: the charge drops from 6 kg to 2 kg. Nothing changed about the product or the negotiated rate — the box changed.

Multiply that difference by your monthly order volume and the number stops being anecdotal.

What you can do

Stock more than one box size. The most common mistake for a small brand is buying a single size "that fits everything." It fits everything and leaves room to spare on almost everything. Three or four well-chosen sizes cover most catalogs.

Actually measure your SKUs. Not estimates: real length, width, height, and weight for every product and for its most frequent combinations. Without that data nothing can be optimized, and it is also what lets you quote accurately.

Review your dunnage. Paper and bubble wrap take up volume. A properly sized box needs less filler, which lowers material cost and volumetric weight at the same time.

Watch the master carton on multi-item orders. When an order contains several items, how they are arranged defines the final volume. It is one of the things resolved during pick and pack.

Consider flexible packaging when the product allows it. Apparel, textiles, and soft accessories travel better in a poly mailer than in a rigid box.

Ask each carrier you work with for its volumetric factor. If one uses 5,000 and another 6,000, the same package has two different billable weights — and that can change which carrier suits which shipment type.

What almost nobody checks

Two details that surface late:

Rounding. Many carriers round up to the next half kilogram or full kilogram. A package with 2.1 billable kilos may be invoiced as 2.5 or 3 kg. Worth knowing how your provider rounds before optimizing to the gram.

The dimensions measured at the carrier's hub. Dimensional scanning is automatic and measures the box as it arrived, not as you designed it. A poorly closed or bulging box measures more than it should, and that difference gets billed.

Frequently asked questions

Does volumetric weight apply to domestic shipments or only international ones? Both. The factors differ — air and international shipments typically use 5,000 or lower, which penalizes volume more — but the logic is identical.

How do I know if I am overpaying? For a sample of last month's shipments, compare the billed weight on the invoice against the product's actual weight. If the gap is consistent and large, the problem is the box, not the rate.

Should I switch carriers if one has a worse factor? Not on that basis alone. The volumetric factor is one variable among several: coverage, transit times, incident rate, and base rate. The right comparison is total cost per delivered order, not a single component.
